Terms and Conditions

Bus Hire Terms and Conditions

These terms and conditions (“Terms”) govern the hire of buses from Bus Booking Melbourne (“the Company”) to the customer (“the Hirer”). By hiring a bus from the Company, you agree to be bound by these Terms.

1. Booking and Payment

1.1 The Hirer must make a booking in advance, providing all necessary details, including the date, time, destination, and passenger count.
1.2 A non-refundable deposit may be required upon booking. Full payment is due before the hire date, unless you have a credit arrangement with Bus Booking Melbourne.
1.3 The Company reserves the right to cancel bookings if payment terms are not met.

2. Cancellation and Refunds

2.1 The Hirer may cancel by providing written notice. Cancellation fees are as follows:
a. More than 72 hours prior to hire: No fee.
b. 48-72 hours prior: 50% of the total hire cost.
c. Less than 48 hours: 100% of the total hire cost.
2.2 The Company may cancel due to unforeseen circumstances (e.g., mechanical issues). In such cases, a full refund will be issued, or an alternative bus offered if available.

3. Vehicle Specifications and Safety

3.1 The Company provides a bus per booking specifications, including seating capacity, which must not be exceeded.
3.2 The Hirer ensures passenger safety and conduct during transit.
3.3 Seat belts are mandatory for all passengers; driver instructions must be followed.
3.4 The Company is not responsible for personal property damage during transit.

4. Driver

4.1 A qualified, licensed driver will be provided by the Company.
4.2 The Hirer must supply the driver with a detailed itinerary and adhere to the agreed schedule.
4.3 Overtime charges apply if the driver’s hours exceed what was initially agreed upon.

5. Prohibited Activities on transport

5.1 Smoking, alcohol consumption, and illegal substances are strictly prohibited on the bus.
5.2 The Hirer must ensure passengers behave safely and orderly.

6. Damage and Cleaning

6.1 The Hirer is responsible for any damage to the bus/equipment by them or passengers, with repair costs billed to the Hirer.
6.2 The bus must be returned in a clean condition; additional cleaning charges may apply.

7. Insurance

7.1 The Company has insurance for its vehicles, but Hirers are advised to have travel insurance for extra protection.

8. Force Majeure

8.1 The Company is not liable for failures or delays due to unforeseen events beyond its control, such as natural disasters, accidents, or labor disputes.

9. Dispute Resolution

9.1 Disputes under these Terms will be negotiated between the Company and the Hirer.

10. Governing Law

10.1 These Terms are governed by Victorian law, and any legal actions must be filed in Victoria.

11. Amendments

11.1 The Company may amend these Terms at its discretion. Changes will be communicated in writing to the Hirer.

12. Credit Card Charges

12.1 Payment via credit card (VISA or MasterCard only) will attract a surcharge of 2% of the value of the booking.

13. Additional Charges

13.1 Our quotations include vehicles hire, road tolls and parking fees.

14. Driver accommodation and meal policy

14.1 Depending on the charter type, the customer may be responsible for providing driver accommodation. The minimum requirements are:Β 

  • Single occupancy, clean and sanitary room
  • Private toilet and shower facilities
  • Linen provided

Certain venues (e.g., backpacker accommodations or those near live music venues) may be unsuitable due to driver fatigue and safety concerns. The driver has the final approval and may request a different room or provider if dissatisfied. Any extra costs are the customers responsibility.

Regarding meals, customers may be required to cover the cost of driver’s meals for overnight stays.Β  A daily allowance of $20 for breakfast, $20 for lunch, and $30 for dinner will be included in the quotation.

15. Lost Property Policy

15.1 If you lose an item on one of our coaches, please contact our office immediately on 1800 344 566. We will make every effort to locate your lost belongings.

Please note, we are not responsible for any lost property, regardless of the circumstances. We strongly recommend confirming all belongings are collected before disembarking.

If we locate your item, we will advise on the best method for collection. You may need to pick it up from our office or cover postal costs if you prefer us to send it to you.

We will do our best to notify owners of any found items. If items remain unclaimed after a reasonable period, we reserve the right to donate them to charity.

16. Commentary

16.1 Some of our drivers have the capacity to provide commentary for various locations. If you require commentary, this must be advised in advance to ensure the appropriate driver guide is allocated to your booking, and to ensure they can adequately prepare.

There may be an additional charge for commentary to be provided and this will be advised at the time of the quote/booking.

17. Driver Tips

17.1 There is no requirement to tip any driver. However, if you believe the driver has exceeded your expectations and deserves a tip/gratuity, then it is entirely a discretionary act on your behalf.

18. Limitations of Liability

18.1 The Company provides journey time estimates in good faith but cannot guarantee punctual arrival or departure times. We accept no responsibility or liability for delays or issues caused by circumstances beyond our control, such as traffic congestion, accidents, weather conditions, police or government requests, vehicle breakdowns, or other unforeseen events.

It is the customer’s responsibility to ensure that all booking details are accurate and up to date.

19. Fatigue Regulations

19.1 The company and driver are bound by strict laws and regulations concerning driving hours and driver fatigue.Β Β 

While the driver has the final authority on rest and driving periods to ensure safety, they will make every effort to adhere to the planned timetable or schedule whenever possible.

20. Animals on Board

20.1 No animals are allowed on the bus or in the luggage compartments, except for recognised assistance animals such as Guide Dogs.

21. Wheelchair-Accessible Coaches

21.1 Wheelchair-equipped coaches are available upon request, subject to availability.Β 

Please note the wheelchair hoist has a maximum load capacity of 250kg. Loads exceeding this limit are not permitted, and alternative arrangements are the responsibility of the client.Β 

While our drivers will assist with loading and securing the wheelchair, the ultimate responsibility for ensuring it is properly secured rests with the passenger, carer, or group leader.

By hiring a bus from Bus Booking Melbourne, the Hirer acknowledges and agrees to these Terms and Conditions.
